Using Project Change Management Process Effectively

An effective project change management process consists of using change request forms which are evaluated via a weekly steering meeting. The goal of using such a process is to make sure that changes are not being added into a project in the middle of its lifecycle which could result in your timelines getting shifted.

The basic tool for policing change within any project is the change request form. The project manager defines the structure and expects all requests for alterations to be submitted in this format. It details the nature of the change as well as some of its goals and objectives. The project manager should categorize each change request according to how severe the issue/problem is, desirability, cost, etc.

In some circumstances the more minor change requests may be given approval for implementation by the project manager. This helps speed up the project change management process by allowing some of the daily minor requests to be implemented using available contingency.

You still need to establish a project change management process meeting to discuss all pending change requests. The attendee should include the project sponsor as well as the author of each change request and other stakeholders (as required). Each change is discussed in order and open debate to be had around the benefits of the alteration as well as the impact on your existing time-line.

The project manager should always be emphasized during this meeting the impact on major or minor milestones. Discussions need to take place regarding how contingency can be used to facilitate these alterations are how existing work that is already being planned can be dropped in order to make sure the changes can be implemented.

The final step in the change management process is to write up the meeting minutes regarding which change requests have been approved, update your sample project proposal template and inform team members of alterations to their work breakdown structure.
